FOREWORD
********
The availability of complete and accurate records of investments can be of
inestimable value in helping to determine future investing policy. This
is particularly true if combined with the ability to evaluate the true
return of those investments on a time related basis. This program provides
an easy method of maintaining those investments and of computing the
internal rate of return on investments regardless of the types of
investments such as stocks, bonds, notes, real estate and others. It also
provides the ability to produce phantom files of investments under
consideration, (under a separate account) provided that reasonable
forecasts of returns can be made, and to measure that return on a time
related basis for comparison with other alternative courses of action.
As an example, a $10,000 investment that returns its principle plus $3,000
after three years is a much better investment than one that returns the
capital and $3,000 after five years. This is obvious. However, the
situation becomes much less obvious when purchases, return of capital and
income are in varying amounts and at varying time intervals. The ability to
compute the Internal Rate of Return on such an investment provides comparative
information on the worth of an investment after considering the time element.
This then becomes a common denominator. Unless some common denominator can be
obtained, the real return can be very deceptive and illusive.
In addition this program will transfer the summary data of each investment to a
portfolio file. The program provides means to screen or hard print the total
portfolio or selected portfolios of only stocks, or bonds, or fixed dollar
denominated investments or appreciable dollar denominated investments. The
user has the option then of calling up a graphical and numerical chart of the
distribution of risk and of the overall risk in the portfolio. Each investment
report, when initially created, will have had coded to it a risk factor varying
from 1 to 7. A help chart in the form of a pyramid is available as a general
guide for the assignment of risk factors.
PORTRAC also will provide a Personal Financial Statement by combining the
portfolio file with user created files for personal assets and liabilities.
In addition, a separate module of the program permits the creation of loan
amortization tables and includes six interest rate programs and a calculator
that provide great flexibility in solving interest rate related problems.
The program can be run from a diskette or a hard disk. It runs much faster on
a hard disk and use of a hard disk is recommended wherever possible. However,
the text in this manual is based on diskette operation. The program may be run
with the keyboard in lower case or locked in upper case. It will run on
computers without graphic capability or on computers with CGA color graphics,
defaulting to systems without graphic capability. The setup program
SETSYS.EXE will set the system for graphics and will configure the printer.
It is not necessary to read the entire manual prior to using the program
but it is highly desirable to read pages 1 though 8. Of particular
importance is the section entitled "THE PORTRAC INVESTMENT FILE SYSTEM".
Those registered owners upgrading from a prior version must make an
adjustment to the portfolio file in order to operate. Contact the author
for an instruction sheet.

PROGRAM OVERVIEW
****************
Your investment files will be entered on the program disk. Therefore, the
disk should not be write protected. A user copy of the program disk should
be made immediately. (Important: See GENERAL INFORMATION section).
The only program to be loaded into the computer is PORTRAC by the command
PT. The PORTRAC program consists of two modules, PORTRAC and AMORTIZE.
AMORTIZE is an independent program which contains interest rate programs and is
accessed from the INTRODUCTORY MENU of PORTRAC.
The main program is the PORTRAC module which is used for:
Creating, editing and printing individual investment files.
Creating (Automatic), editing and printing the portfolio.
Evaluating the risk balance of the portfolio.
Computing the Internal rate of return of individual investments.
Producing the networth statement.
The files appear on the disk as follows:

The file named STORE presently lists the demonstration account and will
list the other accounts when created. The data for each account will be
held in its own account subdirectory under subdirectory \UVSTR.
Demonstration files of individual investments now exist in subdirectory
\UVSTR\ACNT1. Examples are S4 and D2. Also under the account will be the
portfolio file, file name ABC and two files for the networth statement with
file names ASSETS and LIABIL. Sample reports may be printed and added to
this manual-i.e investments, the portfolio and networth statement (See the
README file). To view a list of investments and file names of an account
press W at the INTRODUCTORY MENU. From the list of accounts that appears,
select the account and then press F4 (And ENTER if necessary). A submenu
will appear from which you may elect to view all file and investment names
or elect to view names by investment classification.
The file system for individual investment reports is explained in detail
later in this manual. However, in short, the computer assigns the
investment file name after the operator specifies the type of investment
(ie,stock, bond etc) by selection from a menu. The first letter of the
file name is a key control factor in the operation of the program.
The program is completely menu driven and contains many error traps to
prevent improper input. Wherever possible commands are entered by single
key stroke input. There are numerous self evident sub menus. The two key
menus are the INTRODUCTORY MENU and the ACCOUNT MASTER MENU shown on page 4.

GENERAL INFORMATION
*******************
EQUIPMENT REQUIREMENTS
An MS-DOS PC compatible computer with one disk drive - 256K
(A hard disk is highly desirable)
A monochrome or color monitor (Color monitor preferred)
A printer capable of 12 or more characters per inch (for 9 1/2" paper)
BACKING UP THE PROGRAM DISK AND HARD DISK INSTALLATION
At least one copy of the program disk should be made prior to running the
program. Use the DISKCOPY command. It is essential that after printing
this documentation, that you erase MANUAL and README from the copied disk
to provide space for your files. Also, after setting up your system with the
SETSYS program, erase SETSYS.BAT and SETSYS.EXE (Not the created file SETIT in
subdirectory \UVSTR). When even more space is needed, void the demonstration
account (Press 'R' at the INTRODUCTORY MENU followed by pressing '1' at the
option offered). This will erase all files in the account and VOID the
account. If a hard disk is used, refer to page 28 for instructions relative to
hard disk installation and operation.
CAPACITY OF THE SYSTEM
The PORTRAC program will handle 999 individual investor accounts. The
number of investments that the system will handle is determined by the disk
capacity and by the length of individual investment files. Otherwise, the
following figures represent the maximum capacity of the system.

GENERAL OPERATIONAL INFORMATION
This manual assumes that the operator is familiar with the operation of the
computer and it only attempts to instruct in the use of the PORTRAC
program. If one understands the intent of the program, operation becomes
relatively easy as the computer leads the operator through a series of
menus from which the operator makes choices. The complete error trapping
and the error messages prevent improper input.
Anywhere in this manual's operating instructions where the word ENTER
appears in capital letters, the ENTER key should be pressed. After an
account number is selected from the INTRODUCTORY MENU, all action on that
account stems from the MASTER MENU and the subsidiary menus under the
MASTER MENU. At any time when entering investment numeric data and the
entry to be made is 0 (zero) it may be entered by pressing the ENTER key
only. All data may be entered to any number of decimals. The reports,
however will show only two decimals except in the case of price which will
be in three decimals to conform with normal stock market quotations.
You may, at any time, return to the appropriate menu by pressing the 'F1'
key. It is sometimes necessary to follow 'F1' by pressing ENTER. To EXIT
(return to system), go to the INTRODUCTORY MENU and press 'S'.

GETTING STARTED - LOADING PORTRAC

Place your system disk in drive A: and boot the computer. Replace the
system disk with the copied PORTRAC disk and run the setup program SETSYS (See
page 29). Then, from the root directory, type PT and press ENTER. PORTRAC
will load and the title logo will appear. Press ENTER to continue and a
statement of terms and conditions will appear. Press ENTER and the
INTRODUCTORY MENU appears. (See page 28 for hard disk installation)

Due to the different classifications of investments there are four
different formats for individual investment reports. There is one format
for the portfolio report. The computer automatically selects the proper
format. The four investment report formats are to take care of investments
with the following characteristics:

Investments denominated in dollars fall into two categories. They are:
1. FIXED DOLLAR INVESTMENTS - Investments not generally subject to
appreciation or depreciation such as notes.
2. APPRECIABLE DOLLAR INVESTMENTS - Investments subject to appreciation or
depreciation such as real estate.
The computer takes care of all of these classification problems
automatically if the operator properly specifies the type of investment
from the menu selection. See the section of this report entitled "THE
PORTRAC INVESTMENT FILE SYSTEM".
It would assist in the general understanding of this program if the sample
investment report on page 25 of this manual and its accompanying
explanatory note was reviewed at this time. The date at the top line is
the date entered when the computer was booted. Note that the file name of
the investment report shows in the upper right hand corner. It will always
be either a two or three character file name, always starting with one of
four letters (S, B, D, or P). Directly below it is an indicator, entered
by the operator, that records whether or not earnings are automatically
reinvested. The "HELD BY" section will contain information as to how the
investment is legally held in an account. A family account, for instance
could have some investments held in one person's name and others in a
family trust. Next will be the risk factor assigned to the investment
along with the ticker symbol for stocks or percent ownership for dollar
denominated appreciable investments. The risk factor must always appear as
the first character and it is optional as to entering the ticker symbol or
percent ownership as these are only informational and do not affect any
computations.
It is always necessary to select the account with which you wish to deal in
order to get to the MASTER MENU. A list of accounts is displayed for this
selection. In general, you remain with this selected account until such
time as you wish to return to the INTRODUCTORY MENU and select another
account. However, if the Internal Rate of Return is computed, you are
returned to the INTRODUCTORY MENU and must again select the desired
account. If no accounts have been established and you press 'W' at the
INTRODUCTORY MENU, an error message appears.
At any time anywhere in the various modules you may escape to the
appropriate menu or restarting point by pressing the 'F1' key. Some times
it will be necessary to follow the 'F1' key by pressing ENTER. It is best
not to press ENTER unless the 'F1' key did not get action.
If in doubt when questioned for a file name, press F4 & ENTER. You will
then be able to view the list of file names and will be returned to the
question. If F4 is pressed at any other time, you will be able to view the
list of file names but will be returned to the MASTER MENU.
If, at any time a break occurs by pressing CONTROL-BREAK or otherwise, it
is necessary to return to the root directory to re-enter PORTRAC. The
break will leave the system in a subdirectory and an attempt to re-load the
program at that point will not find the file PORTRAC.
The AMORTIZE module is completely independent of any accounts. It stands
alone as a separate utilty to produce loan amortization schedules and to
provide means to make various interest rate calculations.

THE PORTRAC INVESTMENT FILE SYSTEM
**********************************
The user created files relative to investment management consist of the
individual investment files, the portfolio file, and two files for the
networth statement (The personal asset file and the liability file). The
networth statement also uses the portfolio file. The portfolio file is
automatically created when an investment is entered and needs no discussion
here. The operator is led by the computer in the creation of the two networth
files in a procedure similar to creating investment files. The key files are
the individual investment files. The reference to an individual investment
file is a misnomer as each investment has two files. A Header File is
automatically set up after the operator specifies the type of investment. The
other is a companion numeric data file automatically set up by the computer
after a header file has been created. The header file contains the general
information about the investment such as the investment name (i.e. General
Motors), the legal owner, the risk factor, whether earnings are
automatically reinvested and comments. The companion numeric data file
contains all of the dollar and share transactions.
The file names assigned to investments fit a standard pattern. They
contain either two or three characters, the first character being a letter
and the second or third being numbers. The computer assigns the letter
after the operator specifies the investment category by selection from the
menu shown below. The computer then searches for the first unused number
between 1 and 99 in that category and assigns it to the investment.

When the operator specifies the type of investment the computer will assign
S if it is a stock, B if it is a bond, D if it is a fixed investment
denominated in dollars, or P if it is an appreciable investment denominated
in dollars as the first character of the file name. It is important to
make the correct selection from the menu because if a wrong prefix is
assigned to an investment, the reports will be in error. The selection of
stocks or bonds is obvious except that master limited partnerships traded
on an exchange should be handled as stocks. The following is a general
guide to dollar denominated investments.

The computer will then screen (As an example) the message:

In actuality two file names have been established. S12 was established for
the header file and the computer automatically set up XS12 to contain all
of the numeric data for that investment. Numeric data file names always
start with an X after which comes the name of the header file. The
operator never needs to be concerned with the numeric data file name except
to know that it exists as it will show up in the subdirectory of the
account. If, in this example, S12 was erased by using option '5' at the
EDITING MENU, XS12 would automatically also be erased.
The header file is set up only once when the investment is established but
it may be edited. Entries into the numeric data file may be made any time
there is any transaction within the investment (i.e. a dividend received,
shares bought or sold etc.). You are asked to make the first entry or entries
in the data file right after creating the header file. Later, additional
entries can be made by calling up the EDITING MENU using '3' at the MASTER
MENU. All file entries may be edited except that when editing the header file,
the status of reinvesting earnings may not be changed. If this is once entered
and a change is necessary, the file must be erased and redone.
The portfolio file is automatically set up by the computer and is named
ABC. The program will initially record each investment to the portfolio
when it is created and later, if edited, it will record to the portfolio if
the editing caused a change in the value. If the only entry is income
received in cash, it will not be recorded to the portfolio as no change in
value is involved. If an investment transaction changes the value to zero
it is recorded to the portfolio but in this case recording to the portfolio
actually eliminates it from the portfolio as the portfolio will show no
investment that has been reduced to zero value. The message will
nevertheless appear that it has been recorded to the portfolio. Screening
or printing an investment file does not re-record it to the portfolio.
The two files to be created for the networth statement will show in the
subdirectory as ASSETS and LIABIL. The ASSETS file contains only personal
assets, not investment assets. The networth statement will first list
personal assets, then the investment assets as they appear in the portfolio
and then the total of personal assets and investment assets. It will then
show the liabilities followed by the networth.
If the networth statement is screened, the format will be slightly
different than the hard copy of the statement. When reading the hard copy
you are always able to see then entire document. However, when screening,
part of the document may scroll off the screen. Therefore the screening
will finish with a networth summary showing totals of personal assets,
investment assets, total assets, liabilities and networth.

CREATING AN ACCOUNT
*******************
To get started (After system setup and hard disk installation ), boot
the computer and then remove the system disk and replace with the copied
PORTRAC disk. Then type PT and ENTER. A title logo will appear on the
screen. Press ENTER and it will be replaced by a policy statement. After
reviewing the statement press ENTER and the INTRODUCTORY MENU will appear.
(See the README file for instructions in using the demonstration account.)
Press 'C' at the INTRODUCTORY MENU to create an account. You should not
press ENTER as all selections from menus are single keystroke operations.
Also, other entries, where possible, are single keystroke operations.
After pressing 'C' you will be asked for the name of the account. Type in
the new account name (i.e. THE JONES FAMILY TRUST) using not more than
twenty nine characters and press ENTER. The computer will record the
account name along with an account number and you will be returned to the
INTRODUCTORY MENU.
VOIDING AN ACCOUNT OR RENAMING AN ACCOUNT

If it is desired to discontinue an account, the account should be voided.
This is done by pressing 'R' at the INTRODUCTORY MENU. The following
message will then appear:
WHAT ACCOUNT NUMBER WILL HAVE A NAME CHANGE OR BE VOIDED?
Respond by typing in the account number. It will automatically enter.
The following message and options will then appear:
IF VOIDED, ALL FILES ARE ERASED.
TO VOID THE ACCOUNT ---- PRESS 1
TO RENAME THE ACCOUNT -- PRESS 2
TO ABORT --------------- PRESS 3
If '1' is pressed to void the account, you are asked "Are you sure-Y or N?"
then if 'Y' is pressed all files in the account are erased and the account is
eliminated. The INTRODUCTORY MENU will then reappear. This may take several
seconds. The account number is made available for use with a future account.
When a new account is established, the computer searches for the first unused
account number to assign to the new account. (Caution: Never attempt to void
and account by opening the account sub-directory and using the DOS erase
command).
To rename an existing active account press '2' at the above sub menu. The
following question will then appear:
WHAT IS THE NEW NAME OF THE ACCOUNT?
Respond by typing in the new name and press ENTER. The account will be
renamed and all files in the original account will remane intact under the
new name. The INTRODUCTORY MENU will reappear.

ESTABLISHING AN INVESTMENT FILE
*******************************
An investment file can not be established until an account is created as
described in the section entitled CREATING AN ACCOUNT. Assume, as an
example, that an account has been set up to contain all of the investment
records of JOHN JONES & FAMILY.
At the INTRODUCTORY MENU press 'W'. A listing of the active accounts will
appear as follows:

The ACCOUNT MASTER MENU appears. The name of the account you are working
with will appear at the top of the MASTER MENU. Press '1' at the MASTER MENU to
create an investment file in the account.
A new menu will appear as below for the purpose of establishing the file
name for a specific investment.

might for example then be S14. This is the header file name and is the
name used later to call up both the header and the numeric data file. The
computer automatically sets up XS14 as the companion numeric data file.

The computer now asks "WHAT IS THE NAME OF THE INVESTMENT - i.e. ABC CO.?"
Respond by typing the name and ENTER (i.e. FORD MOTOR COMPANY).
(Note: The name is limited to 30 characters. If more are entered, the
computer will indicate the number of excess characters and instruct the
operator to try again.

The computer asks "HOW IS THE INVESTMENT LEGALLY HELD - WHO IS THE OWNER?"
Respond by typing in the legal owner and ENTER. - i.e. John Jones (SPH)
(Note: The response is limited to 20 characters)
The computer then asks:
"ENTER THE RISK FACTOR (1 TO 7) - PRESS F2 & ENTER FOR GUIDANCE".
The risk factors are used later to graphically present the risk balance of
the portfolio. Different investors may have different viewpoints towards
risk. However, in most cases the broad base of the investment pyramid
should represent conservative investments and the pinnacle of the pyramid
should represent a smaller portion of the portfolio in higher risk
investments. The risk factors run from 1 (lowest risk) to 7. By pressing
F2 the operator can bring up a help pyramid that will give general guidance
for selecting risk factors (See Page 27). However, each investment must be
considered on its own merits. A stock ticker symbol can also be entered
here but the risk factor must be the first character. An entry for General
Motors might then be 4/GM or 4-GM. Any 8 characters can be entered after
the risk factor as purely informational data.
The computer will then ask "ENTER ANY COMMENT?"
Respond with any comment limited to 68 characters and ENTER.
(If over 68 characters are entered an error message appears.)
The computer will then ask "ANY FURTHER COMMENT?" Respond as above.
The computer asks "ARE EARNINGS AUTOMATICALLY REINVESTED - Y OR N?"
Consider this response carefully. It is a key control factor in the
reports and once entered, it can not be changed without re-doing the entire
report. A 'Y' entry should be used only if all cashflow is reinvested.
(i.e. Investments with cash flow from amortized notes should show 'N' for
this response). After making your selection, press ENTER.
The computer states "IF YOU MADE AN ERROR PRESS 1: IF NOT PRESS ENTER"
A response of '1' will permit re-entry of all of the above data. If ENTER
is pressed the HEADER FILE for this investment is complete.

A menu called the TRANSACTION CLASSIFICATION MENU will appear as shown
below. The selection from this menu will decide the data input queries
that the computer will present. The computer uses the first letter of the
filename, the decision on reinvesting earnings that was made in the header
file, and the transaction classification selection to sort out the
necessary input queries and only the pertinent questions will be asked. In the
rather infrequent case of an expense being involved when recording income in
cash, the expense can be entered by pressing F5 and ENTER when the computer
asks for income. The program will back up and ask for the expense.

After making the selection from the TRANSACTION CLASSIFICATION MENU the
computer states:

"ENTER THE TRANSACTION DATE - MONTH/DAY/YEAR" (Exact day not important).
Respond by typing the date - i.e. 01/25/84 and ENTER
Accurate dates as to month and year are essential and must be in
chronological order as they affect later computations of the Internal Rate
of Return.
The computer then asks for the data input numbers. The first record is
usually a purchase but other transactions can follow. If the transaction
involves a purchase of a stock or bond it will ask for the shares
purchased, the purchase price, and the commission or other expense. If it
was a sale of shares it will ask for the shares sold, the price, and any
commission or other expense. Price and shares may be entered to three
decimals. All figures should be entered as positive figures. If the
transaction was a sale, the computer will convert the figure to a negative
figure. In the case of bonds bought or sold, it should be entered as bond
shares (bonds) and price, not as dollars invested.
For dollar denominated investments the computer asks "ENTER THE DOLLARS
INVESTED" and follows by asking "ENTER ANY COMMISSION OR OTHER EXPENSE".
If a fixed dollar denominated investment returned invested capital, (i.e. A
note paid off) the computer will ask "ENTER THE DOLLARS RETURNED (RETURN OF
PRINCIPAL ONLY) and again will ask "ENTER ANY COMMISSION OR OTHER
EXPENSE". This could occur if '2' was pressed at the TRANSACTION
CLASSIFICATION MENU.
When income is received on a stock or bond , usually the date, expense, and
the income received are the only questions. However, if the income was
automatically reinvested, the computer will also ask for the number of
shares acquired by the reinvested income. (The computer computes price.)
When cashflow is received on dollar investments the computer asks:

After responding to the above the compute states:

This provides means to enter the principal return of an amortized note as
return of capital and the computer records the difference of the cashflow
as income. (See demonstration file P7 for data entry in a leveraged real
estate investment - rental property.)
After each record is entered the computer states:

If you press '1' you may re-enter all of the data in the record. If you
press enter, the record is complete.
The computer asks "DO YOU HAVE MORE ENTRIES, Y OR N?"
Respond by typing 'Y' or 'N'. These automatically enter.

If 'Y' was typed the screen shows "YOU ARE NOW ENTERING RECORD NUMBER 2".
This process is repeated until all records are entered and 'N' is typed at
which time the computer moves to record the investment to the portfolio.
When the file is recorded to the portfolio the computer will ask again for
the current price if the investment is a stock or a bond. If it is a fixed
dollar investment no question is asked and it is immediately recorded to
the portfolio. If it is an appreciable dollar investment two questions are
asked as follows prior to recording to the portfolio:
ENTER THE TOTAL ESTIMATED APPRECIATION % OF THE INVESTMENT.
Respond by entering the number and ENTER. If the investment had
appreciated 50% for example, enter the number 50. (See the section on
SUPPLEMENTARY DATA INPUT for more information on appreciation input).
IF THIS IS MORTGAGED REAL PROPERTY PRESS 1: IF NOT PRESS ENTER.
If you pressed '1' the computer will ask a third question:
ENTER THE TOTAL PURCHASE PRICE W/O FEES.
Respond by entering the total price without fees (Not the down payment).
The computer will compute the appreciation on the total purchase price and
will record the equity to the portfolio.
EDITING

All changes to investment files and the portfolio file are done from the
EDITING MENU as shown below, which is accessed by pressing '3' at the
MASTER MENU. Any entry that reduces the investment value to zero (i.e.
selling all shares) will result in immediate removal of the investment
from the portfolio. However, the investment file still exists permitting
printing of an archival report. Later the file can be erased using '5' at
the EDITING MENU. The file name is then released for reuse. (Note: All
NETWORTH action stems from the NETWORTH MENU by using '7' at MASTER MENU).

Detail editing procedures are explained in the following sections of this
manual. In all of these procedures it is assumed that you are currently in the
account that you want to edit. Once an account is selected, you generally
remain in that account until such time as you intentionally go to the
INTRODUCTORY MENU to select another account. However, an exception exists in
that after computing the INTERNAL RATE OF RETURN you are returned to the
INTRODCUTORY MENU and must again select an account. One other unusual
circumstance will cause a return to the INTRODUCTORY MENU.

CHANGING AN INVESTMENT HEADER FILE
**********************************
To change a header file, press '3' at the MASTER MENU.
The EDITING MENU will appear. Press '3' at the EDITNG MENU.
The computer asks "WHAT INVESTMENT FILE DO YOU WANT?"
Respond by typing the file name and ENTER (i.e. type S4 and ENTER)
If you need to review a list of the file names, press F4 and ENTER. You
will be able to return after reviewing the list and continue.
Note: The file name itself, i.e. S4, can not be changed. There should be
no reason to do so.
The computer will then lead the operator through all procedures to change
the header file and will ask for each item of information in the same
manner as when originally entered. The computer will not permit you to
change the status relative to reinvesting earnings. If this is necessary,
remove the file using '3' on the MASTER MENU and re-do the file.
After the header file is changed the computer will proceed to record it to
the portfolio. The computer will search the portfolio and find the
previously used record number and will record to that record number.
When the changed header file is recorded to the portfolio, the numeric data
file is also again recorded. The computer asks the following questions to
get the current updated investment value.
** IF THE INVESTMENT IS DENOMINATED IN SHARES **
The computer states "INPUT THE CURRENT MARKET PRICE"
Respond by typing the market price to three decimals and ENTER.
** IF THE INVESTMENT IS DENOMINATED IN APPRECIABLE DOLLARS **
It states "ENTER THE TOTAL ESTIMATED APPRECIATION % OF THE INVESTMENT"
Respond by typing the total appreciation percent (i.e. 20) and ENTER.
(Refer to the SUPPLEMENTARY DATA INPUT section of the manual for more
information on appreciation input). If the investment is in fixed dollars
the computer skips the appreciation input request and skips all of the
following prompts.
The computer then states:
IF THIS IS MORTGAGED REAL PROPERTY PRESS 1: IF NOT PRESS ENTER.
If 1 is pressed the computer states:
ENTER THE TOTAL PURCHASE PRICE W/O FEES

CHANGING A RECORD IN AN INDIVIDUAL INVESTMENT REPORT

To change a record in the numeric data file of an individual investment
report, press '3' at the MASTER MENU. The EDITING MENU will appear. Then
press '2' at the EDITING MENU.
The computer asks, "WHAT INVESTMENT FILE DO YOU WANT?"
Respond by typing the file name (i.e. S4) and ENTER.
If you need to review the list of file names, press F4 and ENTER.
The computer asks, "WHAT RECORD DO YOU WISH TO CHANGE?"
Respond by typing the record number and ENTER.(i.e. record #1 of XYZ CO.)
(Note: Determine the record number from the screen or hard copy report")
The computer then states "YOU ARE CHANGING RECORD NO. 1 OF XYZ CO."
The record is displayed to assist in selection from the menu.
The TRANSACTION CLASSIFICATION MENU then appears and you must select the
type of transaction involved with the change of the record. (i.e. A buy, a
sale, or receipt of cashflow.)
After making the selection from the menu the record is again displayed.
The computer then asks for the required items of data and records the
corrected record to the investment file.
The computer then asks, "DO YOU HAVE MORE CHANGES - Y OR N"
The response is entered automatically. If it is 'Y' the procedure is
repeated. If the response is 'N' the computer moves to record the changed
investment to the portfolio (Assuming the changes affected the value.)
The computer will then search for the portfolio record number."
** IF THE INVESTMENT IS DENOMINATED IN FIXED DOLLARS **
The computer immediately records the investment to the proper record in the
portfolio and returns to the MASTER MENU.
** IF THE INVESTMENT IS DENOMINATED IN SHARES **
The computer states, "INPUT THE CURRENT MARKET PRICE"
Respond by typing the price to three decimals and ENTER.
The computer now records the investment summary to the proper record in the
portfolio and returns to the MASTER MENU.
** IF THE INVESTMENT IS DENOMINATED IN APPRECIABLE DOLLARS **
It states, "ENTER THE TOTAL ESTIMATED APPRECIATION OF THE INVESTMENT"
Respond by typing the total appreciation % and ENTER.
It asks, "IF THIS IS MORTGAGED REAL PROPERTY PRESS 1: IF NOT PRESS ENTER"

ADDING RECORDS TO AN INDIVIDUAL INVESTMENT REPORT

If the XYZ CO file contained seven records, the computer would then state:

The procedure then continues in the same manner as when entering the
initial data until you respond 'N' to the question:
"DO YOU HAVE MORE ENTRIES, Y OR N?"
If the new record, or any record in a group of records entered, changed the
value of the investment, after a response of 'N' the computer will proceed
to record the investment to the portfolio. If the value is not changed,
the screen will return to the MASTER MENU.
If the investment is to be recorded to the portfolio, the computer will
search for and find the proper portfolio record number. The computer then
asks for either the current market price or the appreciation depending upon
the type of investment.
Respond by typing in the information and ENTER. The computer skips this
question if the investment is denominated in fixed dollars and immediately
records it to the proper record number in the portfolio.
If denominated in appreciable dollars, the computer states:
"IF THIS IS MORTGAGED REAL PROPERTY PRESS 1: IF NOT PRESS ENTER."
If '1' is pressed and ENTERED, the computer states:
"ENTER THE TOTAL PURCHASE PRICE (W/O) FEES."
Respond by typing the total purchase price without fees and ENTER.
If the investment is not leveraged, this question is skipped.
THE COMPUTER THEN RECORDS THE CHANGED INVESTMENT TO THE PROPER RECORD IN
THE PORTFOLIO AND RETURNS TO THE MASTER MENU.
**** SPECIAL CASES ****
It is sometimes desireable to produce a close out report of an investment
that has become worthless. If so, proceed as follows:
FOR INVESTMENTS DENOMINATED IN SHARES
Add a record for shares sold equal to the number of shares held. Enter all
other figures as zero. The investment will be recorded to the portfolio
but, as the value is zero, it will not appear in the portfolio. Thus a
close out report is provided but it is dropped from the portfolio.
FOR INVESTMENTS DENOMINATED IN DOLLARS
Enter another record with all values as zero except enter .001 as the
commission or expense. This figure will not show in the printout as it is
only an instruction signal to the computer as to how to handle the data.

DELETING A RECORD FROM AN INDIVIDUAL INVESTMENT REPORT

To delete a record from the numeric data file of an individual investment
report, press '3' at the MASTER MENU.
The EDITING MENU will appear.
Press '4' from the EDITING MENU.
The computer will then state,"WHAT INVESTMENT FILE DO YOU WANT?"
Respond by typing the file name (i.e. S4) and ENTER.
(If you need to review the list of file names, press F4 and ENTER.)
The computer will then ask,"WHAT RECORD DO YOU WISH TO DELETE?"
Respond by typing the record number and ENTER.
The computer then states:
TO DELETE THE RECORD PRESS 1: OTHERISE PRESS 2 AND ENTER
If '2' is pressed and ENTERED, the message "THE RECORD WAS NOT DELETED"
appears and the MASTER MENU returns.
If '1' is pressed and ENTERED the record will be deleted and the following
question appears:
"DO YOU HAVE MORE DELETIONS - Y OR N?"
If the response is 'Y' the deletion procedure is repeated.
If the response is 'N' the computer will then search for the portfolio
record number. In the case of deletion of records, the altered investment
will always be automatically re-recorded to the portfolio even though the
deletion makes no change in the value of the investment.
If the investment is in shares it will ask for the current price.
If the investment is in appreciable dollars it will ask for the
appreciation and then ask if it is mortgaged real property. If mortgaged, it
will ask for the total purchase price without fees.
After the information is entered, the MASTER MENU will re-appear.
Just a few words about deleted records. In actuality the record is never
dropped from the file. When a record is deleted all values are turned to
zero for that record and the computer is programmed to skip and thus not
print a record with no values. This will result in a discontinuity of
record numbers. Thus, if a file with 5 records has record number three
deleted, the remaining visible records will be 1, 2, 4, & 5.

SCREENING AN INDIVIDUAL INVESTMENT REPORT

To screen an investment file, press '4' at the MASTER MENU.
The SCREENING MENU will appear. It is similar to the PRINTING MENU shown
on the next page. Press '1' at the SCREENING MENU.
The computer then asks, "WHAT INVESTMENT FILE DO YOU WANT?"
Respond by typing the file name (i.e. S4) and ENTER.
If you need to see the list of file names, Press F4 and ENTER.
** IF THE FILE IS DENOMINATED IN FIXED DOLLARS **
The file will be immediately screened and the following message appears:
"TO RETURN TO MASTER MENU PRESS ENTER: FOR HARD COPY PRESS 1".
The screening is arranged in such a manner as to prevent the header
information from scrolling off the screen for the first record group.
Scrolling will stop after the first seven records. Then the following
message appears:
TO CONTINUE PRESS ENTER
By pressing ENTER, groups of 14 records will be screened thereafter.
** IF THE INVESTMENT WAS DENOMINATED IN SHARES **
The computer states, "INPUT THE CURRENT MARKET PRICE."
Respond by typing the market price up to three decimals and ENTER.
The file will be screened and the following message will appear:
"TO RETURN TO MASTER MENU PRESS ENTER: FOR HARD COPY PRESS 1".
** IF THE INVESTMENT WAS DENOMINATED IN APPRECIABLE DOLLARS **
The computer states:
"ENTER THE TOTAL APPRECIATION % OF THE INVESTMENT - i.e. 50"
Respond by typing the percent appreciation and ENTER.
Note: If the investment was closed out (sold) it is necessary to enter the
appreciation as minus 100 to reduce the present value to zero if a closeout
report is desired. If partially closed out the appreciation must be
adjusted accordingly.
The computer states:
"IF THIS IS MORTGAGED REAL PROPERTY PRESS 1: IF NOT PRESS ENTER."
If ENTER is pressed the computer proceeds to screen the investment.
If '1' is pressed, the computer states:
"ENTER THE TOTAL PURCHASE PRICE W/O FEES."
Respond by typing the purchase price without fees and ENTER.
The file will be screened and the following message will appear:
"TO RETURN TO MASTER MENU PRESS ENTER, HARD COPY 1."
Note: Entering the price or appreciation when screening an investment file
does not affect the value in the portfolio file. It is only affected when
adding or editing an investment record or from '2' at the MASTER MENU.
** ALTERNATE RESPONSE FOR HARD COPY **
Place paper in the printer and put the printer on line. If the investment
is a stock or bond set the paper 1/2 inch to the right.
The message on the screen is:
"TO RETURN TO MASTER MENU PRESS ENTER: FOR HARD COPY PRESS 1."
Respond by typing '1'.
The printer will print the investment report and will automatically return
the screen to the MASTER MENU after completion. In the event the report is
longer than one page, the computer will space down, set up the next page
headings and print subsequent pages as needed.

Note: If an attempt is made to view the portfolio and no investments had

"THE PORTFOLIO HAS NO INVESTMENTS - PRESS ENTER FOR MENU"
The portfolio shows the investment name, the file name, the holdings, the
net invested, and the market value. The characters SH and $$ indicate
whether the holdings are in shares or dollars. The hard copy will also
show the percentage relationship between the present value and the net
investment for the stocks and bonds in the portfolio. The percentage
figure does not show for fixed dollar investments as they do not
appreciate. It does not show for appreciable dollar investments because
the figure can be misleading. In this case if some assets are sold and funds
returned to the investor it is possible to have all capital returned and thus
have an infinite percentage gain. The individual investment reports and the
IRR computations provide the best measure of profitability.
HARD COPYING THE PORTFOLIO FILE

Place paper in the printer and put the printer on line.
Press '5' at the MASTER MENU. The PRINTING MENU will appear.
Press '2' at the PRINTING MENU to select portfolio printing.
Select the desired portfolio (Total, Stocks Bonds, etc.)from the menu.
The following messages appear: PUT THE PRINTER ON LINE - SET THE PAPER
PRESS ENTER WHEN READY?
The printer will immediately start to print the portfolio. If the
portfolio is longer than one page, the printer will feed the paper for the
next page, set up the column headings and proceed to print the next page.
An option is then given to print the numeric data of the chart of risks.
The screen then shows: TO ADVANCE CONTINUOUS PAPER -- PRESS 1
IF USING SINGLE SHEET PAPER -- PRESS 2
In either case you are returned to the MASTER MENU.

UPDATING AN INVESTMENT TO THE PORTFOLIO FOR PRICE

On occassion it may be desired to bring the portfolio value up to date if
there is a value change (i.e. change of price). This procedure provides
the option of recording to its old portfolio record number or to a
different record number if it is desired to rearrange the portfolio.
(Screening or printing an investment file does not update the portfolio).
Press '2' from the MASTER MENU (Or '7' from the EDITING MENU).
The computer then states:
"WHAT FILE DO YOU WANT TO RE-RECORD TO THE PORTFOLIO?"
Respond by typing the file name (i.e. S4) and ENTER.
The computer then states (For example):
YOU ARE RE-RECORDING TO THE PORTFOLIO --- GENERAL MANUFACTURING CO.
TO CONTINUE ----- PRESS ENTER
TO ABORT -------- PRESS F1 & ENTER
If 'F1' is pressed you are returned to the MASTER MENU.

In this case the computer will erase the investment from the old record
number and proceed on as below to record to the specified new number.
If '1' is pressed, it will find the record number and will ask for the
market price if denominated in shares or the appreciation if it is a dollar
denominated appreciable investment. If the latter, it will state:
"IF THIS IS MORTGAGED REAL PROPERTY PRESS 1: IF NOT PRESS ENTER."
If '1' is pressed the computer states:
"ENTER THE TOTAL PURCHASE PRICE W/O FEES."
The investment is then recorded and the MASTER MENU appears.
Note: You can not record to a number greater than the number following the
last number now in (or has existed in) the portfolio. If this is attempted
the computer will respond with a message similar to:
"THE RECORD CAN NOT BE GREATER THAN 15 - TRY AGAIN"
This tells you that the last number in the portfolio was 14. Therefore, if
you want to re-record to the end of the portfolio, specify an out of range
record number and the computer will advise you of the next number.
DELETING AN INVESTMENT FROM THE PORTFOLIO
*****************************************
An individual investment file may be erased by pressing '5' at the EDITING
MENU. In this case the investment will also be erased from the portfolio. By
pressing '6' at the EDITING MENU you may remove the investment from just
the portfolio without affecting the individual investment file. This
permits retaining an investment file that has been reduced to zero value in
order to print an archival investment report. After printing the report,
the investment can be erased using '5' at the EDITING MENU.

COMPUTING THE INTERNAL RATE OF RETURN
*************************************
The internal rate of return provides a means of making comparative
evaluations of the time related return of various investments.
Technically, the Internal Rate of Return (IRR) is defined as the discount
rate that equates the present value of the future benefits of an investment
with its current cost. As an example, a bond, purchased at par that
yielded 10% per year and was eventually redeemed at par value would show a
10% IRR. However, investments that yield returns of varying amounts at
varying time intervals and that are sold at other than the purchase price,
are difficult to evaluate. The IRR provides this ability.
In making the IRR calculation, the program takes into account all expenses
and commisions recorded to date as costs. The program not only considers
the initial investment but all additions to the investment on a time
related basis. The program discounts on a monthly basis and all
transactions within a month are considered as made on the last day of the
month. For this reason, the program should only be used for holding
periods of about four months or longer. The monthly interest rate
(discount rate) is later converted to an annual rate. The accuracy, if
accepting the above limitation of all transactions being considered at
month end, will be within 1/10th of 1%.
Record number 1 must exist to compute the IRR (It must not be erased).
Also, transactions that appear on the PORTRAC investment file must be in
chronological order as to month and year or an error message will appear.
The computer will read the data from the investment file and will compute
the Internal Rate of Return (IRR). The IRR can not be computed at a date
earlier than the last record date. This would not normally be desired but
if attempted, an error message will appear. It can be computed at a date
later than the last record date. In this case you are given the option of
using the market value as of the last record date or of inserting an
estimated value at the later date. Any interim cash flow after the last
record would be overlooked, however. If the expected interim cash flow is
significant, records can be added to the file to enter the estimated
figures. After the IRR computation is made, the records can be deleted.
To compute the IRR press '6' at the MASTER MENU. You will be asked to
verify that the file is up to date after which INTRATER, (The IRR module)
will appear on screen. The computer will then ask:
"WHAT INVESTMENT FILE ARE YOU CALCULATING?"
Respond by typing in the file name (i.e. S4) and ENTER.
The computer will then state:

If '1' is pressed the following input request is skipped.
If '2' is pressed the computer states:

If your option was to use the present portfolio value, the computer will
search the portfolio file for the present value of the investment. If you
elected to use an estimated future value, your estimate will be used.
If the investment had been erased from the portfolio using '6' at the
EDITING MENU the computer will not find the present value. However, as

the investment file may still be intact, you can compute the IRR by inserting
the value using '2' on the submenu above. Caution: If the file is erased
using '5' on the editing menu the file name is released for re-use. If the
file name is reused, you may still have an archival file with the same file
name. Any IRR computation would use data from the new file.
Also, if more than one record was deleted at the end of a file, an error
message appears. To correct, re-enter the last visible record as a new
record and delete its previous record. It will then be the last record.

date using either the portfolio value or the estimated value. If any date in

personal financial statement using these two files and the investment

From the NETWORTH MENU press '6' to create the liability file. The same
method is used as for assets except that only one figure per liability
item is required.
The procedure for adding, changing or deleting records is the same as that
used to edit investment files.
In the unlikley event that you should wish to erase the entire personal
asset or the liability file, go to the system and use the erase command.
You must be in the sub-directory for the account (i.e. \UVSTR\ACNT1). The
file names are ASSETS and LIABIL. (Consider just deleting records).

From the NETWORTH MENU press '0' (zero).
The computer screen will then list the personal assets showing the LOWER OF
COST OR MARKET and the MARKET VALUE. It will conclude with a summary line

Upon pressing ENTER the computer will proceed to screen the investment
assets using the PORTRAC portfolio file data. After each group of 16
records is screened, the screening will stop and again the message "PRESS
ENTER TO CONTINUE" will appear. After all investment assets are screened,
the totals for investment assets and total assets will show.
The liabilities may be screened by pressing ENTER again at the prompt.
Again, each liability and the total of liabilities will show.
By pressing ENTER at the prompt a summary report will be screened similar
to the example below (The report of the demonstration files):

HARD DISK INSTALLATION

Follow this procedure to install the various files on a hard disk:
Boot the computer in drive C: (The hard disk on most computers)
Type MKDIR UVSTR (And press ENTER).
Note:This exact subdirectory is essential. No other subdirectory works.
Place the copy of the PORTRAC program disk in drive A: (Not the original).
At the C> symbol type A: (ENTER). Both drives are in the root directory
and drive A: is the active drive. To make sure drive A: is in the root
directory type CD \ and press ENTER.
Type COPY PT.BAT C: press ENTER (This batch file loads PORTRAC).
Type COPY SETSYS.BAT C: press ENTER (This batch file loads SETSYS.EXE).
The two batch files will then be copied to the root directory of the hard
disk. However, four more files must be copied to directory \UVSTR.
Make drive A: the active drive and type CHDIR \UVSTR:
Type COPY BRUN20.EXE C:\UVSTR (And press ENTER).
Type COPY PORTRAC.EXE C:\UVSTR (And press ENTER).
Type COPY AMORTIZE.EXE C:\UVSTR (And press enter).
Type COPY SETSYS.EXE C:\UVSTR (And press ENTER).
From the root directory of drive C: type SETSYS and ENTER to configure your
system. See the next page for running the setup program SETSYS.EXE
The program may now be run by taking the following steps:
Change back to the root directory of drive C:
Type PT (And press ENTER)
PORTRAC will load into memory and you will be able to create your first
account following the same procedure as for diskette operation.
In the event you wish to copy the demonstration files to the hard disk,
proceed to create your first account by pressing C at the INTRODUCTORY
MENU. You will be asked to enter the name of the new account. Type
DEMONSTRATION and press enter. The account is now established as ACNT1
(Account Number 1) but it has no investment files in it.
To transfer the files from the diskette to ACNT1 on the hard disk:
Press S at the INTRODUCTORY MENU to return to system & root directory.
Type CD \UVSTR\ACNT1 (And press ENTER to change to ACNT1)
Type A: (And press ENTER to move to drive A:)
Type CD \UVSTR\ACNT1 (And press ENTER to change to ACNT1)
Subdirectories \UVSTR\ACNT1 are now active on both drives.
Type COPY A: *.* C: (And press ENTER).
The files will start transferring. You are not concerned with those names
starting with an X as they are the companion numeric data files that
accompany the header file. They are automatically called up when
required. ABC is the portfolio file and ASSETS and LIABIL refer to the
networth statement. (Files SNM, BNM, DNM, & PNM are files that keep track
of file names and are of no concern to the operator.) If you now move to
the root directory of drive C: and and type PT and ENTER you may proceed to
work with the demonstration files or start a new account. Caution: Never
copy investment files individually as the automatic file name assignments may
be upset causing serious errors. Use the COPY *.* command.

SYSTEM SETUP

The setup program makes it possible to run PORTRAC on a monochrome system
without graphic capability or on a system with CGA color graphics. (PORTRAC
initially defaults to non graphic mode). It also will configure the printer to
print 12 characters per inch which is necessary for the PORTRAC reports.
From the root directory type SETSYS and press enter. The drive will change to
subdirectory \UVSTR and SETSYS.EXE will load into memory. The following short
menu will appear.

BACKING UP DATA

The PORTRAC data files should be backed up periodically to another disk to
prevent possibility of loss of data. Copying individual files can lead to
a great deal of trouble because it can upset the file registers that maintain
the numbers assigned to file names. Each individual investment file name is
recorded in one of the file registers (SNM, BNM, BNM or PNM) when the file is
created. If a file is individually deleted or copied using DOS commands the
file register will be in error. Also there is the hazard of forgetting to
delete or copy the companion numeric data file. All modifications to files
should be done within the program from the EDITING MENU with the exceptions as
listed below.
If operating with a floppy disk system, use the DISKCOPY or XCOPY command and
thus copy the entire disk.
If operating from a hard disk it will be necessary to backup each account
by a separate operation. The file name for account number 1 is ACNT1 and
account number 2 is ACNT2 and so forth. Therefore, using account number 1 as
an example, it is necessary to create a subdirectory for the account on a disk
in drive A: In this example it would be \ACNT1. The data on the hard disk is
held in subdirectory \UVSTR\ACNT1.
To back up the data from the hard disk proceed as follows using account
number 1 as an example. This is done from the system mode.
Place a formatted disk in drive A:
Type MKDIR \ACNT1 & press ENTER to create a subdirectory for the data.
Type CD \ACNT1 & press ENTER to change to the subdirectory ACNT1
Type C: and press ENTER to change to drive C:
Type CD \UVSTR\ACNT1 Changes to the subdirectory in drive C: which
holds the account data
Type COPY *.* A: The files are now on the backup disk.
(Caution: Do not copy files individually
If it is necessary to copy the saved data back to the hard disk, reverse
the procedure as shown below again using account number 1 as an example:

THE HANDLING OF THE APPRECIATION ENTRY
--------------------------------------
In this program it is necessary to back into an appreciation figure by knowing
the true value of the investment. In all cases the appreciation will be
applied to the latest 'NET INVESTED' figure shown on the investment report
except for the case of mortgaged real property held directly by the investor.
In that case it will be applied to the total purchase price of the property.
An appreciation percentage figure must be selected that, when applied to either
of these numbers, will result in the known present property or asset value.
This might require entering a negative appreciation figure. In the case of
directly held mortgaged real property, the investor enjoys the appreciation on
the total purchase price, not on just the down payment. In this case the
computer will adjust the value to represent the equity held in the property
which will show on the investment report and in the portfolio.
SPECIAL CASES
DATA INPUT FOR DOLLAR DENOMINATED APPRECIABLE INVESTMENTS
Cash flow from syndications usually consists of cashflow from operations,
return of capital, interest on idle money, or return from sale of assets.
At the time of data entry this situation is not always clear. When
entering cashflow, the computer will state "ENTER THE PORTION THAT IS
RETURN OF CAPITAL". (This request is made for both fixed dollar and
appreciable dollar denominated investments.) The answer is usually known or
available for fixed dollar investments. For appreciable dollar investments
the information may not be available and some judgement will be required by the
investor. In general, when entering the portion that is return of capital it
should be an amount that will leave the 'NET INVESTED' relative to the
remaining value of the investment.
As in this real case example (Demonstration file 'P1'), $70,000 was returned as
shown in record number 36 which far exceeded the initial investment. However,
only 80% of the initial property values in this real estate fund had been
sold. Therefore, the net invested against the remaining properties is 20% of
$20,000 or $4,000. As a result, the last record was entered $16,000 return of
capital and the balance of the $70,000 or $54,000 was entered as income. The
report shows $4,000 as the net invested. However, the remaining properties
have appreciated substantially, the mortgage has been paid down considerably
and the investment is now known to be worth $18,000. A 350% appreciation
factor was applied to the $4,000 remaining net invested to come up with the
'PRESENT VALUE (EQUITY)' figure of $18,000 as shown in the report. This method
is established so that the reports will reflect current value and is not
intended to reflect tax liabilities. If the syndication had been completely
closed out, then the return of capital should have been entered as $20,000 with
$50,000 shown as income. The 'PRESENT VALUE (EQUITY)' would then show as zero.
FIXED DOLLAR DENOMINATED INVESTMENT EXPENSE ENTRY

The program considers that any expense related to an investment in a fixed
dollar denominated investment does not come out of the investment. The
net dollars invested will not be affected by any expense entry.
